Description
Utilizes basic employment knowledge to provide recruiting support services to a team of recruiters. Responsible for preparing requisitions, scheduling interviews and travel arrangements, processing correspondence, event coordination, documenting candidate activity, coordinating new hire activities with clients, and facilitating required background checks.
Using basic employment knowledge and under limited supervision, performs recruiting support tasks to execute the full cycle recruiting process, including:
• Prepare/Draft requisitions in the ATS (Taleo)
• Post approved requisitions on external job boards
• Support internal billing process
• Coordinate interview schedules with internal interview teams and candidates
• Setup required technology for virtual interviews (phone or video interviews)
•Coordinate travel arrangements for candidates as necessary
• Process timely correspondence to candidates
• Collect and track compliance of interview appraisals
• Track and document candidate activities in the ATS (Taleo)
• Drafting and send offer letters
• Facilitate required pre-employment processes (such as background checks, medical screens, drug screens, reference checks, etc)
• Provide new hire information to appropriate parties to initiate hire and onboarding process
• Management of post only process, working directly with hiring managers or business HR contacts.
• May participate or provide assistance in Talent Recruiting projects or initiatives.
• Provide input to drafting/updating employment policy and procedural manuals.
• Utilizes basic recruitment subject matter knowledge to provide support to HR/business supervisors and individuals on HR Services/Operations issues/activities.
• Assists in managing candidate pools to ensure qualified candidates remain engaged in current or future opportunities and ensure a strong positive client and candidate experience.
• Provides basic and straightforward training and direction related to the Talent Recruiting process for HR professionals in the business.
• Drawing upon basic employment knowledge of a region/country, ensures Talent Recruiting compliance requirements are consistently met, including:
•Update and support the ATS (Taleo)
•Candidate file maintenance and TRIM
•policy and legal requirements for a specific region/country/state
•ensure compliance with country/local labor laws
•administration of internal systems and/or creation of processes to ensure compliance with country/local labor laws
• Maintains accountability measures and processes to ensure compliance of policies and procedures.
• Performs basic work steps to assist in audits/reviews and ensure compliance.
Qualifications
Required Qualifications
• High school diploma
• Recent graduate or student of Human Resources, Social Sciences, Business administration and/or Languages.
• 2+ years of HR support or administrative assistant or customer relationship management experience, preferably in recruiting or HR Shared Services environment
• Professional language proficiency in English and Spanish, both written and verbal
• Solid organizational and prioritization skills
• Proficiency in Microsoft Office Suite (Outlook, Word, and Excel)
• Strong interpersonal and customer service skills
• Ability to work with colleagues located in remote locations
• Demonstrated abilities to pay attention to detail and multi-task
• Flexibility/adaptability to work in a fast-paced environment, where priorities and timelines often shift
• Strong team player focus on assisting others as needed
• Ability to work overtime hours as needed
Preferred Qualifications
• Obtained an Associate’s or Bachelor’s degree
• Previous recruiting coordination experience
• Applicant tracking system experience (Taleo)
• Knowledge of country specific employment laws (North America)
