Certification Assistant (m-f)
Full-time

-Job Share: Full-time position.
-Position is based in the FLO-CERT QIS S.A. Office in San José, Costa Rica.
-The salary and benefit package depends upon qualifications and experience.
-Start date: 1st December 2014 (or as soon as possible).

Description

As a LA & Caribbean Certification Assistant you will support all of our Customers and staff members from the LA and Caribbean Certification Team. The position reports directly to the Regional Certification Manager in San José, Costa Rica. Thus, Spanish and English (as a second language) are an absolute must.
In your role you will be responsible for a variety of topics, such as the assignation of audit reports to our analysts, review and approve of auditors’ invoices, update and maintenance some internal certification information (customers data), the management of CR office petit cash, customers services (telephone calls and emails), office administrative tasks, as well as the operation and documentation of several other Certification-specific matters.

Responsibilities
-Ensure communication with applicants and certified customers.
-Ensure central communication with the Latin America and Caribbean Team.
-Manage databases on audits and certification information.
-Manage auditors invoice preparation and revision, and follow up on payments.
-Assist the Regional Manager on the Regional Office Administration (office supplies, etc.)
-Support FLO-CERT new services, marketing and implementation

Qualifications

“Must haves”
-Professional education/training in relation to administration (e.g. as Commercial Clerk, Office Administrator, Multi-lingual Secretary)
-Professional work experience in the field of Administration of 3+ years
-Knowledge customers’ services and office administration
-Familiar with one or more of the following certification schemes: Organic, Eurepgap, SA 8000, Fairtrade, ISO 9000 or equivalent
-Fluent in Spanish and English (oral/written)
-Very good command of MS Office Suite and affinity to IT related processes
-Team player who enjoys working in a fast-paced environment
-Strong soft skills and the ability for cross-cultural communication
-Excellent organizational talent and a solution focused working approach
-Motivation for fair global trade

“Nice to have”
-University degree in a relevant subject (e.g. Business, Economics, Social Sciences)
-Previous experiences with Administration information systems (e.g. SAP Systems)
-Language skills in Portuguese or French
-Business experience in international trade
-Work experience in food processing industry
-Knowledge of the agricultural sector in Latin America
